Insert a business card in Outlook email

A business card in Outlook email enables you to send your contact information in a format that can be easily read by the recipient of your email. This is often referred to as a vCard. It is saved as a .vcf file, which is the Internet standard for sharing contact information. When you include a vCard in an email, it will attach it as a .vcf file and the recipient can open and view your contact information. You can also receive vcards from others, and this will display in the same way, as an attachment.

Insert your business card into an email

You can insert your business card into a new email, a reply email, or a forward email.

  1. On the Format Text tab, in the Format group, click HTML. You will then be able to view the business card as an attachment and to have the card in the body of your email.

  2. Click the Insert tab, then click Business Card, and then click your name.

    Your business card will be included as an attached file and within the body of the email.

Add a contact with a business card

  1. Click New Email.

  2. Click Address Book.

  3. You can type your name or another person’s name to create this business card.

  4. Click to highlight the name needed.

  5. Right click and then click Add to Contacts.

  6. Some contact details will fill-in automatically, edit it and add other information as needed..

  7. Click Business Card and Picture to edit the business card as needed and to add a picture, and then click Save & Close.

Insert a contact business card into a contact group email

  1. Click New Email.

  2. Click To.

  3. Click the Address Book dropdown, and then select Contacts.

  4. Select the contact group, then click To, and then click OK.

  5. On the Insert tab, click Business Card, and then click a name shown, or click Other Business Cards.

  6. Select the name of the business card you want to attach to the email, and then click OK.

    The business card will attach in the body of the email.
