Set up automatic replies

Automatic Replies are a customized response to a sender’s first email to you. The automated reply informs each sender that you are out of office, on vacation, or otherwise unavailable to respond to emails. Your automatic reply informs senders to expect a delayed response.

NOTE: An automatic reply is delivered only once to each message sender. If you turn off your Automatic Reply feature and then turn it back on, all senders will once again receive your automatic reply the first time they email you.

There are two ways to create an automatic reply:


Active until you toggle it off

IMPORTANT: When you choose this option, your automatic reply will remain active until you open the Automatic Replies menu, and click the toggle off.

  1. Click the gear in the top banner.

  2. In the Settings section, click the Accounts tab and then click Automatic replies.
  3. In the Automatic replies section:
    1. Toggle on Turn on automatic replies. It will then be called Automatic replies on.
    2. Add an appropriate automatic reply message in the Inside My Organization section.
    3. If appropriate, scroll down and type a message in the Outside My Organization section.
    4. Click Save.

Active until a specific date and time

NOTE: When you choose this option, your automatic reply will turn off automatically at the set date and time.

  1. Click the gear in the top banner.

  2. In the Settings section, click the Accounts tab and then click Automatic replies
  3. In the Automatic replies section:
    1. Toggle on Turn on automatic replies. It will then be called Automatic replies on.
    2. Select the box for Send replies only during a time period.
    3. Select the specific date or date range.
    4. Select the specific start and end times.
    5. Add an appropriate automatic reply message in the Inside My Organization section.
    6. If appropriate, scroll down and type a message in the Outside My Organization section.
    7. Click Save.
