Community Sponsorship Guidelines

The purpose of this guideline is to provide an approach to community sponsorships that aligns and supports RRC Polytech’s mission, values and Strategic Plan. As an educational institution and registered charity primarily funded through government and donations, RRC Polytech will focus on partnering with external organizations for mutual benefit through a number of means, including sponsorship.

These guidelines will ensure the College is supporting common goals that will further the mission of RRC Polytech and the organizations it supports.

Sponsorship Guidelines

Sponsorships and in-kind donations may be provided to community organizations that align with and support RRC Polytech’s mission, values and strategic plan and provide an opportunity to support key operational objectives or reach key audiences.

Sponsorships are evaluated by a core team in consultation with leadership and internal stakeholders who have connections and relationship expertise related to the requesting organization.

Note: All sponsorship arrangements must be in accordance with all relevant RRC Polytech policies (e.g., Conflict of Interest, Purchasing, Use of Facilities).

Requirements

Organizations should submit their requests at least six weeks prior to the date for which the sponsorship is being requested to allow for review and processing time. Late submissions may be considered at the discretion of the Department of College and Public Relations.

Applicants must:

  • complete a formal application for sponsorship;
  • apply all sponsorship funds received from RRC Polytech to the conference, workshop, event or activity as described in the
    application;
  • understand that a successful application does not guarantee sponsorship in subsequent years;
  • fulfill commitments as per agreement to acknowledge RRC Polytech support and use the RRC Polytech logo in accordance with the
    corporation’s visual identity guidelines.

RRC Polytech will not provide sponsorship for:

  • individuals, or organizations supporting an individual (i.e., walk-a-thons, wedding socials, etc.);
  • private schools;
  • requests from religious organizations for sectarian purposes (a community program sponsored by a religious organization may be considered);
  • fraternal organizations;
  • non-Canadian based charities;
  • political parties;
  • private for-profit companies or businesses;
  • school or community club-based sports teams;
  • capital campaigns for infrastructure projects;
  • beauty or talent contests;
  • promotion of alcohol or tobacco products;
  • others that do not align with RRC Polytech’s values and mission.

Evaluation

The following points will be evaluated for all sponsorship requests:

  • Does the company/organization align with RRC Polytech’s values and mission?
  • Does the sponsorship address RRC Polytech’s Strategic Plan?
  • Does the sponsorship provide a conduit to RRC Polytech’s target markets?
  • Does the event:
    • showcase RRC Polytech programs and services;
    • facilitate development of donor relations/ employer partnership(s);
    • aid work currently being completed by RRC Polytech;
    • enhance RRC Polytech’s public profile;
    • provide a unique/exclusive networking opportunity;
  • Has this organization impacted the community or industry in a positive way?
  • Will this event/initiative result in future partnerships?
  • What is the benefit to the College?

In-kind

The College may offer the use of facilities or services to those who are approved as sponsor recipients:

  • Campus Space
  • Promotions – Examples: Social media posts, RED Blog posts, poster/flyer distribution
  • Future Partnerships – Use our curriculums to further both the goals of students and those that align with us. Referral will be made to the appropriate Strategic Council
  • Media Coverage – Using news releases and e-mail pitches to get coverage for our collaborations.
  • In-kind Donations – Examples: RRC Polytech promotional items, Jane’s gift card
  • Use of Equipment

Note: Academic/RRC Polytech Administration needs supersede requests for sponsorship.

Written Agreements

A written proposal covering terms of the sponsorship agreement will be prepared.

Recognizing RRC Polytech’s commitment to be accountable, the terms of the sponsorship agreements will be available to the public.

Termination of a Sponsorship

RRC Polytech reserves the right to terminate an existing sponsorship/partnership should any of the following occur:

  • the partner uses RRC Polytech’s name outside the parameters of the partnership association, as embodied in the agreement, and without prior consent;
  • the partner develops a public image inappropriate to RRC Polytech’s mission and values;
  • other circumstances deemed to be detrimental to the image or operations of RRC Polytech.

Process Overview

  1. Online form to be filled out by requesting company/organization
  2. Submitted form to be reviewed by College and Public Relations
  3. Acceptance/Decline sent to requesting company/organization
  4. If a sponsorship results,
    1. written agreement completed
    2. follow-up questionnaire sent to RRC Polytech participant(s) to document feedback, benefit, and recommendation
      for future participation.
  5. Database of all sponsorship requests to be maintained by College and Public Relations and reported to Vice President Strategic Development

These Guidelines will be reassessed as needed and modifications will be made to the Guidelines as appropriate.

RRC Polytech campuses are located on the lands of Anishinaabe, Ininiwak, Anishininew, Dakota, and Dené, and the National Homeland of the Red River Métis.

We recognize and honour Treaty 3 Territory Shoal Lake 40 First Nation, the source of Winnipeg’s clean drinking water. In addition, we acknowledge Treaty Territories which provide us with access to electricity we use in both our personal and professional lives.
